Website Service Terms and Conditions

Last updated: 7 November 2026

These terms apply to website packages ordered by GP practices and healthcare organisations from GP & Healthcare Support Services Group (GPSSG), a trading name of GP Web Services Ltd, company number 17316146.

For questions about your order or these terms, email info@gpssg.com.

Your booking

Your order identifies your chosen Bronze, Silver or Gold package, booking period and payment method. By submitting it, you confirm that you are authorised to order on behalf of your practice or organisation and accept these terms.

We will email confirmation of your package, payment and next steps. An automated acknowledgement confirms receipt of your submission; your booking is accepted when we send our order confirmation after successful payment. If we cannot accept your booking, we will explain why and refund any payment received.

Special offer: any website package

The offer applies to any Bronze, Silver or Gold website package booked and paid for by 30 November 2026:

  • One year: £495 in total.
  • Two years: £990 in total — fixing your price at £495 per year for both years.
  • Three years: £1,485 in total — fixing your price at £495 per year for all three years.

Website setup and content migration are included, with no additional setup fee. The features and limits of your selected package still apply.

Your selected one-, two- or three-year service period begins when your website goes live. We will confirm that date by email.

Additional services or changes outside your package will be quoted separately and require your approval before any additional charge is incurred. The total amount payable will be shown before you confirm payment.

Card and bank transfer payments

You can pay securely by card through Stripe or choose bank transfer (BACS). The full price for your selected booking period is payable when booking.

For BACS orders, we will email your invoice and payment instructions. Submitting a BACS order does not mean payment has been received. Your booking is confirmed once payment has cleared and we have accepted your order. To qualify for the offer, payment must reach us by 30 November 2026.

Card payment details are processed through Stripe. Please do not send card details or passwords by email.

Annual renewals

After your selected booking period ends, renewal is payable annually at your package’s normal annual price, plus applicable VAT:

  • Bronze: £545 per year + VAT.
  • Silver: £645 per year + VAT.
  • Gold: £745 per year + VAT.

All annual renewal prices quoted are exclusive of Value Added Tax (VAT). VAT will be charged at the applicable rate where required by law and added to the renewal invoice. The total payable will therefore be the stated renewal price plus any applicable VAT.

For a one-year booking, this applies from year two. For a two-year booking, this applies from year three. For a three-year booking, this applies from year four.

We will contact you before your service period ends with your renewal details and invoice. This booking does not authorise automatic recurring card charges. Please tell us before your current period ends if you do not wish to renew.

Your agreed offer price will not change during the booked period. Any proposed change to a future renewal price will be communicated before renewal so you can decide whether to continue.

Building your website

  1. Confirmation: we confirm your order by email and provide simple instructions.
  2. Information: we ask for your practice details, content and any access needed for migration.
  3. Build: we create your website using the agreed package and supplied information.
  4. Review: we provide a preview for you to check and approve.
  5. Launch: following your approval, we arrange publication and confirm the start of your service period.

We will agree the schedule with you. Completion depends on receiving the necessary information, access and approvals. Please tell us about any required launch date before work begins.

Information and approval from your practice

We may need your practice name, address, contact details, opening hours, services, staff details, logo, photographs, public patient documents and existing website content. Where necessary, we will explain how to provide domain or hosting access securely.

You are responsible for ensuring supplied content is accurate, suitable for publication and used with the necessary permissions. Please do not submit patient records, confidential patient information or other sensitive clinical information through the order form.

Please check the preview carefully, including contact information, opening hours, links and clinical or service information. We will correct errors in our work and agree any requested additions outside the package separately.

Your practice remains responsible for approving clinical information and keeping its public information accurate. Website forms and notices must not be used as an emergency or urgent clinical contact channel.

Package scope and ongoing support

Your service includes the features listed for your selected package when you book, together with any changes agreed in writing. Hosting, backups, software updates and support are provided as described in that package.

Content editing responsibilities depend on your package. Where practice staff manage content, we provide the included editing guidance. Where managed content updates are included, please send clear instructions and allow time for us to complete them.

New functionality, substantial redesigns, additional third-party licences and services outside the agreed package require a separate quotation. We will obtain your agreement before proceeding with chargeable additional work.

Links to the NHS App and your existing appointment or prescription services provide access to those services. Their operation and availability remain the responsibility of their providers.

Domains, access and ownership

You retain ownership of your supplied content and existing domain name. Any domain registration, transfer or renewal arrangements will be confirmed separately in writing.

Once the agreed charges are paid, you may use the website content and design created specifically for your practice. Third-party software, themes, plugins, fonts and images remain subject to their own licences.

Please keep your access details secure and tell us promptly about suspected unauthorised access. If you move to another provider, we will agree a reasonable handover of your content and available website files. Any additional migration work or licence restrictions will be explained before you agree to it.

Security, availability and accessibility

We will provide the agreed service with reasonable care and skill, maintain the included security measures and address reported problems. No website can be guaranteed to remain continuously available or completely free from security risks.

Maintenance and issues involving hosting, networks or third-party services may cause interruptions. We will communicate significant issues affecting your website and take reasonable steps to resolve matters within our control.

Accessibility is considered throughout the build. Your practice should tell us about any particular requirements before work begins. Ongoing content changes and third-party tools can affect accessibility; any formal audit or additional remediation beyond your package will be agreed separately.

Cancellation and refunds

To request cancellation, email info@gpssg.com with your practice name and order details.

If you cancel before work has started, we will refund your booking payment. If work has started, we will explain any reasonable deduction for work already completed and unavoidable costs committed specifically for your order, and refund the balance. Deductions will not exceed your booking payment.

Once the website is live, the payment covers the selected fixed service period. A change of mind or decision to move providers during that period does not ordinarily entitle you to a refund for the remaining period. This does not remove any rights or remedies you have if we fail to provide the agreed service.

If either party materially fails to meet the agreement, the other should explain the problem in writing and give a reasonable opportunity to put it right. If we end the service without fault on your part, we will refund the unused service period and agree a reasonable handover.

Non-payment and service suspension

If a renewal invoice remains unpaid, we will contact you and give notice before suspending the service. We may also suspend access where necessary to address a serious security issue or unlawful use, and will explain the reason as soon as reasonably possible.

We will discuss restoring service once the relevant issue has been resolved. Suspension does not transfer ownership of your domain or supplied content to us.

Privacy and personal information

We use booking and contact information to administer your order and provide the service, as explained in our Privacy Policy.

If your website will collect or process personal information on your behalf, we will agree the necessary data handling arrangements before that processing begins. Your practice is responsible for deciding what information it collects and providing appropriate notices to website users.

Problems, responsibility and these terms

Please report any service problem to info@gpssg.com. We will investigate and work with you to resolve it.

Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for fraud or for death or personal injury caused by negligence.

These terms and your confirmed order form the agreement for your website service. Any change to an accepted order must be agreed in writing; later changes to these published terms do not retrospectively change your existing booking.

The agreement is governed by the law of England and Wales. Any dispute will be subject to the jurisdiction of the courts of England and Wales, except where applicable law requires otherwise.
